How do I submit my tax investment declarations?

TendWorks allows you to declare and upload tax investment proofs directly from your Employee Self-Service (ESS) portal to maximize your take-home salary.

Steps to Declare Tax Investments:
  1. Log into the TendWorks portal and navigate to My Payroll > Tax Declarations.
  2. Choose between the New Tax Regime and Old Tax Regime. The system will show a comparative projection of tax liabilities for both options based on your current salary package.
  3. If selecting the Old Regime, click on the categories to add declarations:
    • Section 80C: PPF, ELSS, Life Insurance, EPF, children's school tuition fees (Limit: ₹1,50,000).
    • Section 80D: Medical insurance premiums for self, spouse, children, and dependent parents.
    • House Rent Allowance (HRA): Enter monthly rent details and landlord PAN card (mandatory if annual rent exceeds ₹1,00,000).
  4. Click Save Draft. Before the deadline set by your company admins, upload supporting PDF/Image receipts and click Submit for Verification.
Note: Declarations submitted after the company payroll freeze date (typically the 20th of the month) will only be reviewed in the subsequent payroll cycle.
How do I regularize a missed check-in or check-out punch?

If you forgot to check-in or check-out on the web portal or mobile app, or punch errors occurred due to cellular network dropouts, you must raise an attendance regularization request to avoid salary deductions.

Regularization Steps:
  1. Go to My Attendance > Attendance Logs.
  2. Locate the specific date marked as "Late Check-in," "Early Out," or "Absent/Missed Punch."
  3. Click on the Regularize button next to the log entry.
  4. Enter the correct check-in and check-out times.
  5. Select the reason from the drop-down menu (e.g., *Client Visit*, *Forgot to Punch*, *Technical Issue*, *Working Remotely*).
  6. Add a short comment for your manager and click Submit Request.

Your reporting manager will receive a WhatsApp/email notification. Once approved, your log will be updated, and the status changes to "Regularized" in payroll calculations.

How do I log in and set up my profile as a new employee?

Once your HR administrator registers your profile, you will receive an invitation email containing a secure profile link.

Steps to Get Started:
  1. Click the Accept Invitation link in your email (valid for 7 days).
  2. Set up a secure password (minimum 8 characters, including a capital letter and a special character).
  3. Confirm your mobile phone number. You will receive an OTP to complete security verification.
  4. Complete your profile details:
    • Personal Details: PAN, Aadhaar Number, permanent address, and emergency contact.
    • Bank Information: Bank account number, IFSC code, and account name (essential for salary deposits).
  5. Upload your past work experience certificates, education degrees, and PAN/Aadhaar scans.
How do I configure custom leave approval workflows for departments?

As an admin, you can set up multi-level approval hierarchies for leave applications, expense claims, and timesheets, tailored to each department's reporting structures.

Approval Configuration Steps:
  1. Navigate to Admin Console > Policies > Approval Workflows.
  2. Click Create New Workflow and name it (e.g., *Engineering Leave Policy*).
  3. Select the triggers: Choose **Leave Applications** and pick the applicable departments or specific roles.
  4. Define approval levels:
    • Level 1: Reporting Manager (auto-fetched from the organizational chart).
    • Level 2: Department Head (HOD) or HR Partner (optional).
  5. Configure fallback and escalation rules:
    • If Level 1 manager does not respond within 48 hours, auto-escalate to Level 2 or auto-approve.
  6. Click Save & Activate.
Understanding the company Sandwich Leave Policy

The Sandwich Leave Policy dictates how weekend days or public holidays are calculated when they are "sandwiched" between two approved leave days.

How it works:

If you take leave on Friday and Monday, and Saturday/Sunday are standard weekly holidays:

  • With Sandwich Policy Active: Saturday and Sunday will be counted as leave days. The total leave deducted from your balance is **4 days**.
  • Without Sandwich Policy: Only Friday and Monday are counted as leaves. The total leave deducted is **2 days**.
How Admins Configure this Policy:
  1. Navigate to Admin Console > Leaves > Policy Configurations.
  2. Select the specific leave type (e.g. *Privilege Leave* or *Casual Leave*).
  3. Under "Weekend & Holiday Rules", toggle Enforce Sandwich Leave Policy.
  4. Select exemptions (e.g., you can choose to exempt Casual Leaves but enforce it on Sick/Privilege Leaves).
How do I download my payslip and annual Form 16?

Your salary statements and tax certificates are securely archived in the cloud repository and can be retrieved at any time.

To download Payslips:
  1. Navigate to My Payroll > Payslips.
  2. Select the financial year and month you wish to download.
  3. Click View Statement to see details on your screen, or Download PDF for local saving.
To download Form 16:
  1. Navigate to My Payroll > Tax Documents.
  2. Locate the relevant financial assessment year (e.g., *AY 2026-27*).
  3. Click Download Form 16 (Part A & Part B).
Note: Form 16 is typically uploaded by your company payroll administrator after tax filings are completed (usually by late June or July following the end of the financial year).
How do I set up geo-fencing and GPS tracking for mobile attendance?

TendWorks supports real-time geo-fencing and GPS-restricted mobile clock-ins/outs to ensure remote and field employees punch in only from designated work sites.

To configure geo-fencing as an Admin:
  1. Go to the Admin Console > Leave & Attendance > Geo-Fencing Settings.
  2. Click Add New Work Location.
  3. Enter the location details (e.g. *Chennai HQ*, *Mumbai Sales Hub*) and input its physical address. You can also drag the pin on the map to get precise latitude and longitude coordinates.
  4. Specify the Geofence Radius in meters (recommendation: 50m to 150m depending on office campus dimensions).
  5. Assign employees or departments to this geo-fence. Only assigned employees can check in from this coordinate.
  6. Toggle Block Out-of-Range Punches to restrict check-ins outside the perimeter, or set it to **Flag as Exception** to allow check-ins but mark them with an "Out of Fence" alert for manager review.
  7. Click Save Policy.
For Employees: When checking in via the TendWorks Mobile App, make sure you have allowed **Location Permissions** on your phone (either iOS or Android). If location tracking is disabled, the system will block check-in with a "Location Access Required" notification.
How do we configure statutory compliance components (EPF, ESIC, Professional Tax, TDS)?

TendWorks automates monthly payroll compliance in India, calculations of Employee Provident Fund (EPF), Employee State Insurance (ESIC), state-specific Professional Tax (PT), and Tax Deducted at Source (TDS) under Section 192.

Configuration Steps:
  1. Navigate to Admin Console > Payroll Settings > Statutory Configurations.
  2. Employee Provident Fund (EPF):
    • Toggle **Enable EPF Contribution**.
    • Select contribution rate (Default: 12% of PF Wages).
    • Choose whether to restrict contributions to the statutory threshold of ₹15,000 basic salary or calculate on actual basic wages.
    • Toggle inclusion/exclusion of EPF admin charges (0.50% paid by employer).
  3. Employee State Insurance (ESIC):
    • Toggle **Enable ESIC**. The system automatically applies the statutory rates (0.75% Employee, 3.25% Employer) on Gross Wages for employees whose gross monthly salary is <= ₹21,000.
  4. Professional Tax (PT):
    • Toggle **Enable PT**. The system automatically fetches state-specific tax slabs (e.g. Maharashtra, Karnataka, Tamil Nadu, West Bengal) based on the work location assigned to each employee's profile.
  5. Income Tax & TDS:
    • Configure monthly TDS projection logic, enabling automatic computation of monthly TDS liability based on declaration submissions, regimes, and standard slab rates.
Compliance Note: At the end of every calendar month, the system generates monthly challan files (ECR files for EPF, ESIC text uploads, and state-wise PT registers) ready for direct upload to Government portals.
How do I manage the employee exit process and full & final (F&F) settlement?

TendWorks streamlines exit workflows from resignation submission, departmental approvals, asset recovery clearance, to final F&F payroll calculation.

F&F Exit Workflow:
  1. Resignation & Exit Trigger: An employee submits a resignation in their ESS portal under My Profile > Separation, or an admin schedules a termination.
  2. Approval: Reporting manager reviews and approves the resignation, setting the Last Working Day (LWD) and calculating the notice period.
  3. Asset & IT Clearances: The system automatically triggers task requests to IT, Finance, and Administration departments to recover company assets (laptops, access keys, etc.).
  4. Full & Final Calculation:
    • Go to Admin Console > Payroll > Exit Settlement (F&F).
    • Pick the exited employee. The system pulls active attendance logs to compute **LOP (Loss of Pay)**.
    • Calculate **Leave Encashment** based on their remaining privilege leave balance and policy rules.
    • Input gratuity calculations (if eligible, >5 years of continuous service).
    • Recover any outstanding advances, loans, or notice-period buyout recovery values.
  5. Verification & Payout: Generate the draft F&F summary statement, obtain admin sign-off, and download bank transfer files to release the settlement.
